Reception

Book the consult calls. Leave the clinical ones to your nurses.

A med spa phone rings with two kinds of call: people ready to book a consultation, and clients with a question only a nurse or injector should answer. Reception books the first kind into free times and turns the second into a message. It tells every caller it is an automated assistant.

From $149 a month. One number, answered at any hour. Stop any month.

The calls you get

  • "I'd like to book a filler consult"

It picks the consultation from your list by its name, offers three free times, reads the chosen one back and texts the client.

  • "Can I get filler while I'm pregnant?"

It will not answer. Pregnancy, medicines, prescriptions, allergies and diabetes are checked in the caller's own words before anything is generated. It says a person has to answer and takes a message.

  • "My lip is really swollen since yesterday"

A route on words like 'swollen' and 'blister' rings your on-call nurse at any hour.

  • "The laser did nothing, I want a refund"

Refund requests go to a person. It says it will not agree anything about money and takes a message for the manager.

  • "Did my wife book for Friday?"

Refused. It does not discuss anyone else's booking, so a client's visit is not confirmed to whoever calls.

What you would write down

Most of a med spa setup is about what the line must not say. Write short answers for the questions your front desk answers by rote, and route anything after a treatment to a nurse.

Answers in your own words

Do you do laser hair removal on darker skin?
Yes. Your first visit is a consultation and a patch test, so the provider can check the settings for your skin.
How do I buy a gift card?
Gift cards are sold at the front desk and on our website, and can be used for any treatment.
How long is the consultation?
About 30 minutes. The provider talks through what you want, explains the options and gives you a written plan.
Can I bring a friend?
Yes, one guest can sit with you in the consultation room.

Nights and weekends

Calls after closing are answered. The line says the clinic is closed right now, then books the consultation the caller asks for, or takes a message.

For problems after a treatment, write a route with the words a worried client would use and point it at the on-call nurse's phone. A client with trouble breathing or a severe reaction should call 911, and your aftercare sheet should tell them so.

What to book by phone, and what not

Book consultations, patch tests, follow-ups and standard facials: anything you can give a length. The line offers three times from your hours and reads the chosen one back before it books.

It does not take card details or deposits, so a deposit to hold a laser package or a no-show fee is something your team sets up on a callback. It does not screen medical history before booking either. That belongs in the consultation.

'Allergic' goes to a message, not the nurse

The line checks every caller's words for medicines, prescriptions, allergies, pregnancy and diabetes before it does anything else, and then takes a message. That check runs ahead of your routes.

So a client who says 'I think I'm having an allergic reaction' is not put through to the on-call nurse, even if your route lists 'reaction'. Print the nurse's direct number and 911 on your aftercare instructions, and build the route on words like 'swollen' and 'blister'.

Discretion about who came in

Not every client wants a partner or a friend to know about a visit. Calls like 'Did my wife book for Friday?' are refused before anything is generated, along with questions about who is working and about home addresses. The line offers a message and your staff decide what to say.

An example call

An example call. Lumen Aesthetics and the caller are made up. The clinic has saved the caller's name in the console.

  1. AssistantThank you for calling Lumen Aesthetics. You are speaking with an automated assistant. Hello again, Renee. How can I help you today?
  2. CallerHi. I've had three laser sessions and nothing has changed. I want a refund.
  3. AssistantThat one needs a person, not me. I will not agree anything about money on their behalf. I can take a message. Please say your name, your number, and what it is about.
  4. CallerRenee Watts, 555-0133. I'd like the manager to call me about my laser package.
  5. AssistantThank you. Somebody will come back to you. Goodbye.
  6. CallerOkay. Bye.

Where it stops

  • It gives no treatment advice and does not screen for pregnancy, medicines or allergies. Those questions become messages.
  • It does not take deposits, card details or package payments.
  • Refund requests and complaints about results go to a person. It agrees nothing about money.
  • It does not read your clinic software or client charts.

Questions owners ask

Can an AI receptionist book med spa consultations?
Yes. List each consultation with its length. The line offers three free times from your hours, reads the chosen one back and texts a confirmation.
Will it answer questions about treatments during pregnancy?
No. Anything that mentions pregnancy, medicines, prescriptions, allergies or diabetes is refused before a reply is generated, and it takes a message for your staff.
What happens if a client has a reaction after hours?
Write a route with words like 'swollen' or 'blister' that rings your on-call nurse. A client who says 'allergic' gets a message instead, so give clients the nurse's number and tell them to call 911 for a severe reaction.
Can it take deposits or card payments?
No. It does not take cards, deposits or no-show fees over the phone.
Will it tell callers whether their partner booked?
No. Questions about someone else's booking are refused, and the caller is offered a message.
