One day at the counter
Scroll through an ordinary day. The sign on the door turns at six. The line does not.
The time on the wall 10:05 pm
- 9:14 amPut through
A supplier asked for the workshop. It put him through to your phone.
- 11:02 amYour answer, read out
Do you fit winter tyres on a Saturday? It read out the answer you wrote down.
- 12:15 pmNeeds a person
A customer wanted money back on a repair. It said that needs a person, and took a message for you.
- 2:40 pmBooked
A service on Friday at 8:30, picked from your free times.
- 6:00 pmClosed
The sign turns. The line tells callers you are closed, then carries on.

Dana Reyes, brakes, Thursday at 9:30. She has it by text.
- 10:05 pmMessage
Not something you wrote down, so it did not guess: a name, a number and what it is about.
An example day. The callers and the workshop are made up.
What happens on a call, in order
It picks up and says what it is
At any hour, with your own greeting. Then one sentence you cannot switch off:
You are speaking with an automated assistant.
It puts the caller through, or reads out your answer
You write down your departments and the words that reach them. Each is a transfer to your phone or an answer in your own words, and that list decides before any model does.
It books the appointment while they are on the line
You list your services and how long each one takes. The times it offers come from your opening hours.
- Three free times are read out
- The caller picks one, in their own words
- It reads the time back and waits for a yes
- It is in your diary, and the caller gets a text
The rest becomes a message, not a guess
If the answer is not something you wrote down, it says it is not sure and takes the caller's name, number and what it is about. The question is kept, so you can write the answer once.
Three kinds of question it will not answer
They are stopped before anything is generated. It says so in these words, then takes a message for you.
Allergies, ingredients, medicines
I am not able to answer anything about ingredients, allergies or medicines - that has to come from a person in the kitchen.
Refunds, compensation, lawyers
That one needs a person, not me. I will not agree anything about money on their behalf.
Staff, and other people's bookings
I cannot tell you anything about who works here or about somebody else's booking.
The call record shows which word stopped it, so you can disagree with a word and not with a score. For everything else it is given only what you wrote, and is told to take a message when the answer is not there.
What you find afterwards
Every call is in your console a few minutes after it ends. This is the call from the top of the page, the way it is kept.
- A summary you can act on
- Who called and why, what was agreed, what you have to do next, and how urgent it is. Up to four lines, in the caller's language.
- What it promised, word for word
- Any sentence that committed you to a time, a price or a callback is listed on its own, and only if it was really said.
- By email, if you want it
- A department can send its summaries to an address you choose. A letter every Monday counts the week: calls taken, answered, booked and out of hours.
Summary
- Dana Reyes called to have her brakes checked before Saturday.
- Booked for Thursday at 9:30.
- Nothing to do before then.
- Not urgent: the appointment is in the diary.

What owners ask about an AI receptionist
- Is Reception an AI receptionist or an answering service?
- An AI receptionist. It is software that answers your business number, not a call center staffed by people. It tells every caller it is an automated assistant, answers from what you wrote down, books appointments and takes a message for everything else.
- Can I keep my business number?
- You add the number your callers dial, and we tell you how to point it at us. Until then no call is taken.
- Does it answer after hours and at weekends?
- It still answers. It tells the caller you are closed, then carries on: a booking, a message, or your written answer.
- Which languages does it speak?
- English, German and Polish. If the caller starts in another of the three, it changes to it.
- Can a caller still reach a real person?
- Is put through to the number you set. If you do not pick up, it takes a message.
- Will it give out information about my staff?
- Payroll, leave, anything about a named person: a four-digit PIN first. Three wrong tries and it takes a message.
- What happens when the minutes run out?
- The line keeps answering. Your console shows the minutes used this month and the rate for the extra ones.
- How is it different from voicemail?
- Voicemail keeps a recording if the caller decides to leave one. Reception answers the call, books the appointment while they are still on the line, and sends a caller who hung up a text with a link to pick a time for a callback.
An AI receptionist for your trade
The calls a plumber gets at night are not the calls a salon gets on a Saturday. Each trade has its own page: the calls, what you would write down, and where the line stops.

Who is answering
You are letting a machine answer in your name. You should know what it is and whose it is.
Not a call center and not a person. It is software that speaks: it answers from what you wrote, and hands everything else to you as a message. The sentence that says so cannot be edited or removed.
